The live interview interface consists of three sections: The candidate and interviewer video panel, the Interview Guide, and the control panel.
Candidate and Interviewer Video Panel
This section displays the video for both the candidate and the interview panelists. Under the “Participants” header is the Moderator section. This section displays the name of the current Moderator for the interview as well as a button that allows other interviewers and Observers in the room to make themselves the Moderator.
The Moderator has the ability to control the flow of the interview (e.g., progress the interview from question to question, submit final ratings). To make yourself the Moderator, select the “star symbol” below the “Participants” header. The Moderator will have the star symbol displayed in the top right corner of their video. The Moderator can be switched at any time during the interview.
Interview Guide
The Interview Guide includes the interview script. This section includes each interview question and its associated rating criteria, as well as a rating scale and notes section to capture your rating and notes for each question. Remember that only interviewers can rate interview questions and capture notes during the interview.
At the top of the Interview Guide is a timer. The timer starts when the candidate enters the interview. The timer is for reference only. If the timer runs out, the interview will not end.
Control Panel
The Control Panel includes a “camera button” to turn your video on and off, a “mic button” to mute and unmute your audio, and a” Leave button” to exit the interview. The live interview ends once final ratings are submitted. If you exit the interview prior to this, you will be able to re-enter the interview room after completing the Device Check again. Unless you are speaking, keep your audio muted at all times to reduce background noise that can be distracting for the candidate.
Admitting the Candidate into the Interview
Candidates are always placed into the Candidate Lobby when they join an interview. To admit the candidate into the interview, the Moderator must select the “Start Interview” button above the “Participants” header. Once admitted, the candidate’s video will display where the “Start Interview” button was.
Navigating Between Questions
In the Interview Guide, each interview question and instruction page are displayed one at a time. To navigate between questions and instruction pages, the Moderator must select the “Next” and “Previous” buttons at the bottom of the Interview Guide to move from one to another.
When the Moderator selects the “Next” and “Previous” buttons, a pop-up message is triggered for the rest of the interviewers. The interviewers will have fifteen seconds to decide if they would like to remain on the current question or move to the next question with the Moderator. Observers will not receive a pop-up message and will instead automatically move with the Moderator.
To remain on the current question, the other interviewers must select the “I Need More Time” button in the pop-up message. To move with the Moderator, the other interviewers must select the “Go Now” button or wait until the fifteen second timer runs out. If the “I Need More Time” button is selected, a button will display at the bottom of the Interview Guide labelled “Go to Current Question”. Once the interviewer is ready to join the Moderator, they must select the “Go to Current Question” button.
Rating
Rating can be conducted by interviewers during the interview or later after the candidate has been dismissed from the interview. Observers cannot rate interviews or view the associated competencies or rating criteria.
Before selecting a rating for a competency, review the rating criteria. The name of a competency associated with a question is displayed below the question content. Beneath the competency is the rating scale and the rating criteria for that competency. To hide the rating criteria, select the “Show rating criteria” toggle above the rating scale. To view the rating criteria after hiding it, select the “Hide rating criteria” toggle.
To assign a rating for a competency, select the number in the rating scale that corresponds with the rating you would like to give for that competency. Once selected, the number will be highlighted yellow. To change a rating, select a new number on the rating scale.
Be mindful that multiple competencies may be associated with an individual interview question.
Unscored Interview Questions
If the interview contains questions that should not be rated by the interviewers, the rating requirements for individual questions can be removed during the interview.
To remove the rating requirement for a question, the Moderator must select the “Mark N/A” button above the interview question. This will remove the interviewers’ ability to rate the question, view each associated competency and rating criteria, and take notes.
To undo removing the rating requirement, the Moderator must select the “Allow Ratings” button above the interview question.
Note-Taking
Each interview question has its own notes section. To document notes on a candidate’s response to an interview question, navigate to the "My Notes" field below the rating criteria. This field is an open text box that allows for a max of 4,000 characters and does not have any formatting options.
To expand the size of the notes section, select the two gray lines in the bottom, right-hand corner of the open text box and drag the box downwards.
When documenting notes, follow your agency interview protocols and ensure that you capture notes for each interview question should that guidance be in line with your protocols. Only interviewers can take notes during an interview. Observers will not be provided with a notes section.
Dismissing the Candidate from the Interview
Once the interview has concluded, the panel may ask the candidate to leave the interview by closing their browser or selecting the “Leave” button in their Control Panel. Once the candidate leaves, the Moderator may select the “Review Ratings” button at the bottom of the Interview Guide to move the panel forward to the Review Ratings phase of the interview.
Alternatively, the Moderator may dismiss the candidate from the interview by selecting the “Dismiss Candidate” button at the bottom of the Interview Guide. A pop-up window will appear asking the Moderator if they are sure they would like to proceed by dismissing the candidate. The Moderator may select the “Cancel” button to allow the candidate to remain in the interview or the “Dismiss Candidate” button to proceed with dismissing the candidate from the interview. The interview panel will then move forward to the Review Ratings phase of the interview.
Once the panel is in the Review Ratings phase, the candidate will be unable to use their interview link to access the interview again.
